Crew List

Prior to embarkation, Discovery Yachting requires the completed crew list in order to proceed with the necessary port authority formalities and prepare the yacht’s official documentation in advance. Clients may use either the provided Word document or the official crew list form, ensuring that all details are completed clearly and accurately.

The crew list must include the full details of all passengers onboard, with the skipper clearly indicated. For bareboat charters, a copy of the skipper’s sailing license must also be provided together with the completed crew list. Skipper and co-skipper details should be completed in full, including identification document number, phone number, email address, and sailing certificate details where applicable.

According to updated port authority requirements, phone numbers are mandatory for at least two adult crew members onboard. These contact details are requested strictly for safety and emergency purposes and must be submitted to the port authorities before embarkation.

Along with the crew list, clients are kindly requested to provide their estimated time of arrival at the marina or airport, as well as flight details where applicable. Receiving the passenger list and ETA in advance allows our team to better coordinate arrival procedures, prepare the yacht as efficiently as possible, and provide the boarding pass together with all relevant base arrival information.

Please note: The crew list should be sent by email in Word format and should not be handwritten, in order to avoid delays or errors during the official submission process. All guests must also carry with them the same identification document, passport or national ID, that was submitted in the crew list, as this may be requested during embarkation or by the port authorities during the charter.

Inventory List & Acceptance

Before embarkation, Discovery Yachting provides clients with a complete inventory list for the yacht, available both through our e-inventory system and in printed form onboard. This list includes the yacht’s standard equipment, safety items, galley inventory, technical accessories, and general onboard facilities, allowing guests to review the vessel’s condition and equipment before departure.

The inventory list is general and may include items according to the yacht’s category, model, and standard equipment. During check-in, clients are kindly requested to inspect the yacht carefully and note any remarks, missing items, or observations in the designated section of the inventory form. Our base team remains available to assist with any clarification during this process.

By signing the inventory list and acceptance form, the charterer confirms that the yacht has been inspected and accepted in its delivered condition, together with its equipment and inventory, in accordance with the terms of the charter agreement. Any remarks should be recorded before departure, as the signed acceptance confirms that the yacht and its equipment have been received and approved by the charterer.

Provisioning & Basic-to-Go Pack

Standard Provisioning List
To make embarkation smoother and more comfortable, Discovery Yachting offers a convenient provisioning service designed to save guests valuable time on arrival day. Instead of visiting busy supermarkets before departure, clients may complete our provisioning list in advance, selecting the groceries, drinks, and onboard supplies they would like us to arrange on their behalf.

The provisioning list can be customized according to each group’s preferences, including breakfast items, snacks, beverages, fresh products, and essential supplies for the first days onboard. Once the list is completed and confirmed, our team coordinates the purchase and delivery of the selected items, so they are placed onboard prior to arrival whenever possible.

Basic-to-Go Pack
For guests who prefer an even simpler solution, Discovery Yachting also offers the option of a Basic-to-Go Pack. This ready-made package includes a selection of essential groceries and everyday items prepared onboard for your arrival, allowing you to start your charter comfortably without the need for immediate supermarket shopping.

The Basic-to-Go Pack typically includes basic breakfast supplies, such as milk, eggs, butter, and toast, seasonal fruits, simple lunch ingredients, such as pasta with sauce, a selection of vegetables, drinking water, and household essentials including toilet and kitchen paper. It is a practical and convenient option, especially for guests arriving late in the evening or planning an early departure after embarkation.

Transfers & Important Personal Documents

Private Transfers
For a smoother and more comfortable arrival experience, Discovery Yachting can arrange private transfers upon request through our trusted transport partners. Transfers may be organized between the airport, hotel, port, marina, or any other agreed pick-up and drop-off point, according to each client’s travel schedule and charter arrangements.

In order to provide an accurate quotation and coordinate the service properly, clients are kindly requested to share their arrival and departure details in advance, including flight information, preferred pick-up time, number of passengers, luggage requirements, and any special requests such as child seats.

Passenger Identification & Medical Safeguards
All passengers are required to carry valid identification documents throughout the charter period, such as a passport or national identity card. For safety and medical reasons, guests taking prescription medication are strongly advised to carry their medication in adequate quantity for the duration of the charter, together with any relevant medical documentation where applicable.

Discovery Yachting also encourages guests to inform the company or skipper in advance of any important medical conditions that may require special attention onboard, ensuring a safer and more comfortable charter experience for everyone involved.

Booking, Payment & Cancellation Policy

This section provides important information regarding booking confirmation, payment schedules, cancellation terms, rescheduling conditions, and force majeure procedures for Discovery Yachting charters. Clients and partners are kindly advised to review the policy carefully before confirming a booking.

Discovery Yachting offers two payment plans for charter bookings. The standard payment plan requires an advance payment of 50% upon booking confirmation, within five days, while the remaining 50% balance payment must be settled no later than 30 days before embarkation. Alternatively, clients may choose the full non-refundable charter prepayment plan, under which 100% of the charter amount is paid upon booking confirmation, also within seven days.

Please note that the yacht cannot depart unless the charter has been fully paid before embarkation, and total or partial payments after embarkation are not accepted under any circumstances.

The cancellation policy depends on the time remaining before embarkation:

• Cancellations made 90 days or more before embarkation are subject to administrative fees.
• Cancellations made between 89 and 60 days before embarkation are subject to partial retention of the charter price.
• Cancellations made 59 days or less before embarkation are subject to full retention of the charter price.

If the cancelled charter period is successfully rebooked by another client under the same conditions and price, cancellation fees may be refunded, with only administrative fees retained. Rescheduling requests due to a client’s change of plans are also subject to specific conditions, and any price difference resulting from a change of yacht, charter period, or season may be charged accordingly.
